Your booking form is submitted to us via our website. The website uses drop down menus to assist you in entering some of the required information and will also check that you have made entries in all required places. The website does not, however, verify that any information you have entered is correct. You must therefore check the booking form carefully for any errors and you will have the opportunity to do this before you submit it. When we have accepted your booking, we will issue a confirmation email detailing your booking. A contract will exist once we have issued the confirmation email. It is important that you check the confirmation email carefully and contact us straightaway if you believe any of the details on it are incorrect.
We keep electronic copies of both your booking form and our confirmation email for such periods as are required by English law. They are not, however, available for you to view on our website and you should ensure that you print copies for your records.
If any provision of the contract is declared void, illegal, or unenforceable, the remainder of the contract shall be valid and enforceable to the extent permitted by law.
The contract is governed by English law. If you are resident in the European Union you and we agree to submit to the non-exclusive jurisdiction of the English courts. If you are resident outside the European Union you and we agree to submit to the exclusive jurisdiction of the English courts.
Prices The prices on this website are in pounds sterling and are subject to change without notice. Prices displayed at any moment in time supersede all other prices previously displayed or that appear in any advertisements, printed material, or other places. Once you have made your booking and paid the course fees, the cost of your course will not be subject to any change. This does not apply to invoice errors or omissions. Once a booking has been accepted, offers and discounts cannot be applied retrospectively. Unless otherwise stated, prices include any applicable VAT and other UK taxes.
Payment Payments can be made by £ cheque, bank transfer or PayPal using the relevant page on our website. Full payment is required at the time of booking.
Changes and Cancellation by you If you wish to make any change to your course, please contact us as soon as you can. We will endeavour to accommodate your new requirements although please note that we are unable to accept change requests (except change of participants) for courses due to start within 4 weeks of the date of the request. If the changed arrangements are more expensive than those originally booked, you must pay the difference before the change is confirmed. In addition to any price difference, the following charges are payable (per person) in connection with any change:
| Period from Change Request to Course Start | Charge |
|---|---|
| More than 8 weeks | Nil |
| 6-8 weeks | £25 |
| 4-6 weeks | £50 |
There is no charge for change of participants, which can be made at any time.
You have the right to cancel your booking by written notice to Hi-London, Suite 127, 315 Chiswick High Road, Chiswick W4 4HH, United Kingdom or by email to payments@hi-london.com. In order to cancel, your notice or email must reach us before the expiry of a period of 7 working days, beginning the day after the day on which we send you the email confirming your booking. If your course begins within this 7 working day period, your right to cancel ends when the course begins. We will refund any sums paid by you in full minus an administrative charge of £15 if you validly cancel your booking under this paragraph. In this paragraph, "working days” means all days other than Saturdays, Sundays and public holidays.
If the above cancellation right has expired, you may cancel your booking by written notice to Hi-London, Suite 127, 315 Chiswick High Road, Chiswick W4 4HH, United Kingdom or by email to payments@hi-london.com. The amount we will refund you will be the amount you have paid less the (per person) cancellation charges shown below. The amount you receive back depends on when we receive your cancellation notice not when you send it.
| Period from Cancellation Request to Course Start | Charge |
|---|---|
| More than 8 weeks | £50 |
| 6-8 weeks | £100 |
| 4-6 weeks | £150 |
| Less than 4 weeks | 100% of amount paid |
Changes and Cancellation by us From time to time we may have to change the details of the course you have booked. It is also possible that we might have to cancel your course. For example, some courses require a minimum number of participants to book to enable them to take place and some are dependent on one particular course leader, who might fall ill.
We divide changes we may have to make to your course into minor and major. Minor changes include (but may not be limited to) changes to starting and finishing times (but not days), changes to venues (within 5 miles), changes to instructors, and changes to discussion topics. Major changes include (but may not be limited to) changes to venues of more than 5 miles.
We will endeavour to tell you about any changes as soon as we know about them.
If we have to make one or more minor changes you will not be entitled to cancel the course or to receive compensation. If we have to make one or more major changes, however, you may either accept the change or cancel the course and receive a full refund.
Except where cancellation is due to circumstances beyond our control (see below), if we have to cancel your course, we will offer a suitable alternative if available or a full refund if we are not able, in our opinion, to offer an alternative that is sufficiently comparable.
If we have to change or cancel your course due to circumstances beyond our control (see below) we regret that we are unable to pay compensation.
The maximum compensation we will pay per person per course is that stated above. That is to say, two or more major changes or a major change followed by a cancellation do not give rise to an entitlement to more than one payment.
Circumstances beyond our control When we use the words “circumstances beyond our control” we mean unforeseeable and unusual circumstances beyond our control, the consequences of which could not be avoided even if all due care had been exercised by us. These include (but are not limited to) war, threat of war, terrorism, threat of terrorism, riot, civil strife, industrial dispute involving businesses other than ours, public transport failure, natural or nuclear disaster, fire, adverse weather conditions including floods.
Our responsibility We accept responsibility for those elements of your course which are under our direct control and for the acts and/or omissions of our employees. Save as set out below, no liability is accepted for personal injury or death.
We do accept responsibility for any personal injury or death which results from the negligent (as the word is understood in English Law) acts or omissions of any employees working on our behalf in the provision of services or facilities to you and whilst acting within the scope of their employment.
We cannot be held responsible for any inability to provide all or part of a course, any loss of enjoyment or any additional expenses due to any circumstances beyond our control (see above).
We can only be liable for the provision of special requests where we have confirmed their availability in writing.
We shall not be liable in respect of any loss of profits, damage to goodwill or any type of special, indirect or consequential loss even if such loss was reasonably foreseeable or we have been advised of the possibility of you incurring the same. Subject to the above, and excluding liability for death or personal injury (where we do not limit our liability in financial terms), our liability shall be limited to 2 times the price paid for the course in respect to all claims arising out of any contract incorporating these terms of booking.
Your responsibility You must fully advise us when booking of any illness, disabilities, or social or behavioural problems that a child currently has, or has recently experienced, which might affect him or her or other participants during the course you have booked for. We may request written confirmation from your child's doctor confirming the suitability of the course for your child with particular reference to such considerations as physical access, successful participation, and health and safety. We will naturally treat any personal information sensitively and respect confidentiality. We are committed to making our courses as accessible to as many people as possible. However, very occasionally we may not be able to provide the service required, and in these rare cases, we will refund any fees paid, prorated for any days of the course already attended and subject to administrative charges incurred, provided all relevant details have been given to us at the time of booking. If all relevant details have not been provided to us and it is apparent at the start or becomes apparent during a course that a child has any illness, disabilities, or social or behavioural problems which in the circumstances cannot be accommodated, we reserve the right to exclude that child from the course. No refund would be given in this case.
We also reserve the right to exclude any person from any course if his or her behaviour is inappropriate and incompatible with the general enjoyment and wellbeing of others.
You must ensure that you and your child/ren have appropriate travel insurance, including medical expenses cover, for your trip to the UK. If you are resident in another EU country you may be entitled to reduced cost or free emergency treatment by the UK National Health Service provided you are carrying the necessary documentation. It is up to you to arrange this before you leave home.
Personal property Your and your children’s personal property is solely your and their responsibility at all times, unless any loss or damage is due to our negligence or failure to carry out our responsibilities.
Data Protection The personal information requested at the time of booking and subsequently is held on computer and required to allow our employees, agents, sub-contractors and suppliers to provide your chosen course. By providing us with the information required for booking you are deemed to accept the above and to have gained consent from all members of your party (and where relevant, their parents or guardians) to disclose their details to us. At the time of booking, you will be asked if you wish to receive future mailings from us. If you do not wish to receive these mailings, please so advise at the time of booking or alternatively write to Marketing, Hi-London, Suite 127, 315 Chiswick High Road, Chiswick W4 4HH, United Kingdom or email marketing@hi-london.com. Please click here to view our Privacy Policy.
Photography We regularly take photographs and videos for promotional and training purposes. If you do not want yourself or your child/ren to appear in these, you must write to Marketing, Hi-London, Suite 127, 315 Chiswick High Road, Chiswick W4 4HH, United Kingdom or email marketing@hi-london.com.
Complaints We want you to enjoy your course. If you have any problems, we want to put them right as quickly as we can. If there is anything you are not happy with, please bring it to the attention of the course staff or the course leader as soon as possible. Alternatively, if you prefer please contact Customer Service at Hi-London on +44 (0)20 8740 5006 or by email at customerservice@hi-london.com. If you fail to follow this procedure we will be deprived of the chance to investigate and rectify your complaint whilst you are on the course and this will reduce, or possibly extinguish, your rights to compensation.
If we have not been able to find a satisfactory solution for you during the course, you have 28 days from the last day of the course to contact us and explain your complaint. You can write to Customer Service at Hi-London, Suite 127, 315 Chiswick High Road, Chiswick W4 4HH, United Kingdom, email customerservice@hi-london.com or phone Customer Service on +44 (0)20 8740 5006. Unless there are exceptional circumstances we will normally ask that any telephone complaints are confirmed in writing or by email within 7 days. We will not normally consider complaints received or confirmed outside these time periods, except those relating to personal injury or death. The reason for this is that it is difficult, if not impossible, to investigate complaints unless we are told about them during or shortly after the end of a course.
